Index Voice

Index Voice is an application to have a control of your papers, pictures, documents and files that you have stored in the cloud.

If you have accounts of multiple Cloud Services like Dropbox or Google Drive, Index Voice helps to concentrate and classify all in "Documents". The classification process receive the name "indexation".

You can do the indexation using the keyboard or using speech commands

Each document has the next fields that the user can fill:

  • Title
  • Category
  • Subcategory
  • Amount
  • Place
  • City
  • Date
  • Payment method
  • Comments

The documents also have another fields that Index Voice fill:

  • Origin
  • Storage
  • Date of Addition to Index Voice
  • Date of last update
  • Type of file

New Account

To create an Index Voice account you have to click the New Account Button and fill the fields

  • User
  • Password
  • Confirm Password
  • Full Name
  • Mail

The user must be unique, in case of duplicity you will be asked to change it

There is not restriction in the password. We recommend to use a 16 characters and try to add numbers, upper case letters and under case letters

The mail must be unique, if an account with the same email address already exists then you will be asked to use another one

After filling all the fields an email to confirm your account will be sent to the email written in the Mail field

Login

Using your user and password you can logging to your account

You must confirm your account before logging

In case you forget your password, you can change it clicking the button; an email will be sent to the email you used when the account was created

You can check the licenses, help and about information in the Login Menu

Main List

In the main list you can check your documents ordered by category.

In here you can:

  • Add a new document
  • Search for documents
  • Synchronized the documents

You can also:

  • Sort the list of documents
  • Configure the Assisted Indexation
  • Configure your categories
  • Connect to the storage providers
  • Configure your places
  • Configure the behavior of the indexation
  • Logout from your Index Voice Account

New Documents

There are 3 ways to add a new document to your Index Voice account:

  • Taking a picture
  • Sharing the file from another App
  • Adding a file that is already stored

Once you add the document the Indexation process start.

Indexation

Normal Indexation

To index a document using the "normal" index method you can say a phrase like:

CATEGORY "in" PLACE "from" CITY "on" DATE "amount" TOTAL
            "with" PAY METHOD "stored in" STORAGE

CATEGORY is one of your categories, and can be defined in the categories setting option in the principal menu.

PLACE is one of your places, they can be defined in the places setting option in the principal menu.

CITY a city in the USA

DATE is a date starting with the month. You COULD only say the month.

TOTAL is a quantity in dollars like

45 dollars and 50 cents

PAY METHOD is one of:

  • Cash
  • Credit Card
  • American Express
  • Visa
  • Master Card
  • Check
  • Paypal
  • Google Check Out

STORAGE is the prefered storage service you prefer to upload the document: Google Drive or Dropbox

The next words are optional:

  • in
  • from
  • on
  • amount
  • with
  • stored in

You can say all the sentence or just a part. Each element is optional but you must say at least one element and you must say it in the correct order. For example:

restaurant in Walmart from San Diego

will be OK if you have "restaurants" in your categories and "Walmart" in your places; but you CAN NOT say:

from San Diego in Walmart

because is in a different order.

Also you could say:

restaurants Walmart san diego july first ten dollars visa

So, if you can speak for a very long time (without breathing XD), you can say something like:

coffee shops in Walmart from New York on July 1st. 2013 amount one thousand dollars and fifty cents with master card

Assisted Indexation

You can also used the assisted indexation. This process will help you step by step to fill each field. You can edit which fields to use in the Assisted Index Setting

This method will display a list of possibilities according to the field you are filling.

When using the assisted indexation you can fill the SUBCATEGORY of your document in case you had choose a CATEGORY and that CATEGORY has SUBCATEGORIES

Storage Selection

In case you decide to select in which storage service to save the document using your voice, Index Voice will ignore it in case you already had the document upload in a storage service, this means that you CAN NOT move the document to another storage service using the voice method.

Search documents

You can search documents in 2 ways:

  • Normal Search
  • Advanced Search

Normal Search

When you normal search for a document or a list of documents, Index Voice ask you from some text that is inside the indexation of the document as a text. For example if you search for:

2016

Index Voice will show you all your documents that contains "2016" in any of the documents fields; like 2016 dollars in the amount field or 2016 in the date

Advance Search

You can search a document of a list of documents for an exact match with a group of fields with different values. You can add a value for each field and for the fields of amount and date you can add a range

Voice Search

The voice search is a variation of the advance search and it is also limited. To search a document or a list of documents using your voice you can say a phrase like:

"category is" CATEGORY "place is" PLACE "from" CITY
"after" DATE "before" DATE "more than" TOTAL "less than" TOTAL
"with" PAY METHOD "origin is" ORIGIN "origin is" TYPE "files"
"stored in" STORAGE

CATEGORY is one of your categories, and can be defined in the categories setting option in the principal menu.
You can say

no category

to search a document with no category.

PLACE is one of your places, they can be defined in the places setting option in the principal menu.
You can say

no place

to search a document with no place.

CITY is a city in the United States.

DATE is a date range. You can say

date is empty

to search a document with no date

TOTAL is a quantity in dollars like

5 dollars and 50 cents

You can say

no amount

to search a document with no total.

PAY METHOD is one of:

  • Cash
  • Credit Card
  • American Express
  • Visa
  • Master Card
  • Check
  • Paypal
  • Google Check Out

You can say

payment method is empty

to search a document with no payment method.

ORIGIN is the source of the file, it could be:

  • Camera
  • External
  • a storage service: Google Drive or Dropbox

TYPE is the file type: application, text, video, audio or model.

STORAGE is where the document is saved. The difference between ORIGIN and STORAGE is that ORIGIN is where the document came from, so if you upload a picture taken with the camera application then the ORIGIN of the document will be camera, and the STORAGE will be the one that you select to upload the file. In case the ORIGIN of the document is a storage service then the ORIGIN and STORAGE value are the same for that document.

The next words are optional:

  • category is
  • place is
  • from
  • city is

  • stored in

The words:

  • after
  • before
  • more than
  • less than

are optional too, but must be said when you trying to search a document by its date, you CAN NOT say just a DATE or TOTAL alone.

from Chicago place is Walmart

Also you can say:

and will be OK.

Synchronization

If you have Index Voice in more than one device you can click on the Sync Button to synchronize the documents that you have in your account with the documents in your device

Sort documents

You can sort the list of documents in ascending or descending order by one of the next fields:

  • Place
  • City
  • Amount
  • Category
  • Date

Assisted Indexation Configuration

In the process of the assisted indexation each field is optional and you can control which fields are going to be filled in this section.

Categories Configuration

To use the voice recognition system to fill the category field you must configure your categories. Each Index Voice user has his own categories. In case that you do not configure any categories, the recognition system will use the default categories.

Storage Providers

Index voice requires that you select at least one Storage Provider to save the new documents.

You can bind your Index Voice account with:

  • Google Drive
  • Drop Box

Note: Index Voice do not save copy of any of your files, it only have the necessary information to access to each of the Storage Providers accounts, and it only does from your app. Your user and password to access your accounts is not stored or used by us.

You can loggin and loggout of each storage account at any time.

Synchronized document from storage

You can add a document to Index Voice that is already uploaded in any of your Storage Accounts. You can do this by pressing the Sync Button in the Storage Accounts list. You can select more than one document. Each document will be added to Index Voice with all the fields with no value.

In case that you already have added a file, it will appear in a different color, and when you try to added again, Index Voice will warn you that you want to continue adding the file even if you done it. You can add it again but we do not recommend that.

Places Configuration

Just like the categories, to use the field with the voice recognition system you must configure your list of places. In case you do not configure your places, a list of default places will be use.

Logout

To logout from your account just click on the logout option in the menu. Your storage accounts will be logged out too

Document

You can edit each field of your documents individually. Except of:

  • Date of creation: This is the date you added the file to Index Voice
  • Last update: The last time that you modify the document's fields
  • Type of file: This is the type of file exactred directly from the source.
  • Origin: This field contains where did you take the document.
  • Storage: The Storage Provider where the file is stored

All the other fields are at your disposition to classify your documents.

In the list of documents you see the next information of each document:

  • Update date
  • Title
  • Category
  • Subcategory
  • Amount
  • Date
  • Place
  • City
  • Payment Method

When you select a document from the main list you can edit the fields, and you can also edit which fields you want to see.

You can click the download button in the Document to download a copy of the file stored in the storage account to your device.

At any time you can delete a document from Index Voice, when you delete a document from Index Voice the file stored in the Storage Account WILL NOT BE DELETED.
